How Bookings Work

Learn how bookings work on Farmshare for hosts, including notifications, managing bookings, and cancellations.

Once your experience is listed on Farmshare, guests can discover and book with you directly through the platform.

Farmshare is designed to handle everything in one place—from attracting new guests to managing bookings and handling payments—so you can focus on delivering a great experience.


What happens when a guest books?

When a guest books your experience:

  • You’ll receive an in-app notification
  • If enabled, you’ll also receive email and SMS notifications
  • The booking is automatically added to your dashboard

This ensures you’re always aware of new bookings as soon as they happen.


Managing bookings from your dashboard

You can view and manage all bookings from your Dashboard.

Within the dashboard, you’ll find three main views that help you stay organised:


Overview

The Overview tab gives you a high-level snapshot of your activity, including:

  • New and upcoming bookings
  • Total earnings from past bookings

This is useful for quickly checking how your listing is performing.


Calendar

The Calendar view shows your bookings by date and time.

From here, you can:

  • See which days are booked at a glance
  • Select a date to view an hourly breakdown
  • Click on a booking to view full details
  • Message the guest directly from the booking

This view is ideal for planning and scheduling.


List

The List view shows a complete breakdown of all your bookings in one place.

From the list, you can:

  • Search for a specific booking
  • Open a booking to view full details
  • Message the guest
  • Cancel a booking if required

This view is especially useful if you manage a high volume of bookings.


Cancelling a booking as a host

Cancelling a booking should only be done when absolutely necessary. Host cancellations can disrupt guest plans and lead to a poor experience, so clear and early communication is important.

If you’re unable to honour a reservation—regardless of the reason—it’s your responsibility to cancel the booking as soon as possible so the guest has time to adjust their plans.


How to cancel a booking

To cancel a booking as a host:

  1. Log in to your Farmshare account
  2. Go to your Dashboard
  3. Open the List tab
  4. Locate the booking you need to cancel (you can use search if needed)
  5. Select the booking
  6. Choose Cancel booking
  7. Select a reason for the cancellation
  8. Leave a note for the guest explaining the situation
  9. Confirm the cancellation

The guest will be notified once the cancellation is processed.


When cancellations are unavoidable

Sometimes cancellations are outside of your control, such as due to weather, safety concerns, or unexpected circumstances.

In these situations:

  • Cancel as early as possible
  • Clearly explain the reason to the guest
  • Offer alternative dates if appropriate

Clear communication helps maintain trust and reduces frustration for guests.
